Event Request Policy
All major events and retreats need to be approved and on the calendar by January 1. This allows for proper financial, transportation, and publicity planning. This also allows for people to be aware of these key dates for time off of work and payments. Final publicity information needs to be submitted to the office no later than 6 weeks prior if logo and graphic needs to be submitted to outside source for t-shirts or other such printing. Bulletin and slide information needs to be submitted at the same time so that appropriate communication can take place. (See below for financial considerations)
Events planned by ministry groups, etc, need to be submitted to the ministry head and forwarded to the office no later than 6 weeks prior to the event so that appropriate communication and financial planning may take place. This allows for information to be posted on calendar, web, bulletin and slides. This also allows for consistency in graphic design for each event, as well as no last minute planning.
All bulletin and slide last minute information needs to be submitted to the secretary by no later than noon on Tuesday of the week that it is needed to guarantee publication. All bulletin inserts must be approved by the office prior to insertion to the bulletin.
Based on recommendations from our outside accounting firm, any checks that need to be printed should be turned in at least one full month prior to the day it is needed. After approval, a check may take up to two weeks to process. For all credit card purchases see the appropriate people.
Any money collected for events, etc. should be made payable to Mt Olivet Christian Church and ran through the church deposit process.
The building has been cleaned on Fridays, and if your group is doing an event on the weekend, please be sure that all areas that are used have been cleaned and the bathrooms have been checked so that the building is ready for Sunday services.
* Any last minute events or calendar items that need publicity and financial backing may be submitted to the office for further consideration.
